Job Summary:
The Purchasing Liaison Staff at Toyota Dipolog is responsible for coordinating and facilitating the procurement and delivery of supplies, materials, and parts necessary for the dealership’s operations. This role involves managing vendor relationships, ensuring timely and accurate deliveries, and performing various administrative tasks related to purchasing. The ideal candidate must be able to drive both 2-wheeled and 4-wheeled vehicles, handle multiple tasks efficiently, and possess good interpersonal skills for effective communication with suppliers and internal teams.
Key Responsibilities:
- Assist in sourcing and procuring parts, supplies, and materials needed for the dealership’s operations, ensuring the best quality and price.
- Prepare and process purchase orders in accordance with the dealership’s procurement policies and procedures.
- Coordinate with suppliers to ensure timely delivery of goods and resolve any issues related to orders, such as delays or discrepancies.
- Drive both 2-wheeled and 4-wheeled vehicles to pick up and deliver supplies, parts, and documents as needed between the dealership and various vendors or branches.
- Ensure all items are transported safely and securely, adhering to all traffic and safety regulations during deliveries.
- Verify the accuracy and condition of delivered goods before acceptance, ensuring they the specifications and quantities ordered.
- Establish and maintain positive relationships with vendors and suppliers to facilitate smooth procurement processes.
- Communicate effectively with suppliers regarding order status, delivery schedules, and any changes or issues.
- Assist in negotiating terms and conditions with suppliers to achieve favorable agreements for the dealership.
- Maintain accurate records of all procurement transactions, including purchase orders, delivery receipts, and supplier invoices.
- Prepare and submit regular reports on purchasing activities, inventory levels, and cost analysis.
- Ensure that all procurement documents are properly filed and accessible for audit and reference purposes.
- Assist the purchasing team with various administrative tasks, such as data entry, inventory monitoring, and preparing procurement-related documents.
- Collaborate with the finance department to ensure timely processing of supplier payments and reconciliation of accounts.
- Perform other related duties as assigned by management to support the efficient operation of the purchasing department.
- Handle multiple tasks simultaneously, prioritizing effectively to meet deadlines and operational requirements.
- Be willing to work overtime when necessary to ensure that all procurement activities are completed on time.
- Adapt to changing demands and schedules as required by the dealership’s operations.
QUALIFICATIONS:
- Ability to drive both 2-wheeled and 4-wheeled vehicles (with a valid driver’s license).
- Computer literate and proficient in basic Microsoft Office applications.
- Able to handle multiple tasks efficiently and work under pressure.
- Willing to work overtime when required to meet operational needs.
- Possesses decent interpersonal skills for effective communication with suppliers and internal teams.
- Attention to detail and accuracy in managing procurement documents and inventory.
- Previous experience in procurement or logistics is an advantage but not required.
